Running an Online Tournament

Tournament Administration Procedures:

*Tie Game Considerations:

1. Fewest breaks moves on (first consideration).

2. Player who came from behind (second consideration).

1. Steps to Advertise a new Tournament

a. Post the data/time of the Tournament Registration in Wizard News on the portal page (try to give at least 2 days’ notice). In most cases it will be best to start the Tournament as soon as possible after getting the desired number of registrations or after the end of the registration time period.

2. Steps to Open Player Registration

a. The Tournament Director/Admin will click on the Enter Tournament Game Play Area button.

b. Next check/update the name of the Tournament (i.e. Tournament1 or whatever you want to name it) and click on the Open/Closed button next to “Registration:” (this will then show as “Registration: Open”).

c. Step b will automatically Add (or create) the Tournament if it does not already exist, and it opens the Registration.

d. Post in the portal page chat that the Tournament is open for Registration along with the following instructions (if needed – players can view this in the Tournaments link at the top of the portal page):

i. Example text: “Tournament1” is now open for Registrations.

ii. Click on "CLICK HERE TO PLAY!" to enter the "Game Area".

iii. Review/update your location (next to the "Register for Tournament" button in the "Game Area").

iv. Click on the "Register for Tournament" button.

v. Note: if you do not see the "Register for Tournament" button, then you may need to click the "Refresh List" button to refresh the screen.

3. Steps to Close Registration and set up player games for Round #1

a. The Tournament Director/Admin will click on the Enter Tournament Game Play Area button.

b. Click the Registration Open/Closed button and confirm that it says “Registration: Closed”

c. Determine the number of tables/players based on the number of registered players. The count of registered players is shown at the top/right of the screen. For example, “Tournament Players (18):”

d. Review Appendix 1 below for details on table setup based on the number of registered players.

e. Most cases will use the Auto-Create All Hosts button and some require manual setup beyond that.

f. Select the number of players in each host, and click the Auto-Create All Hosts button.

g. Determine if manual Removing/Adding of hosts is needed. If yes, manually remove the host(s) (select the host and then click the Remove Host button), then manually create the new host(s) one at a time by doing the following:

i. Hit the Clear button (upper right of screen) – this just makes sure you are starting with a clean slate.

ii. Select/check players in Tournament Players list for each Host.

iii. Hit the Create Host button.
iv. repeat steps c-f as needed doing one host at a time.

h. Note: if something goes wrong you can always start over.

i. After all hosts are created post in the portal chat that the Tournament is Open and ready for players and add the following instructions (if needed – players can view this in the Tournaments link at the top of the portal page):

i. Example text: “Tournament1” is now open for Game play!

ii. Click on "CLICK HERE TO PLAY!" to enter the "Game Area".

iii. Click on the "Enter Tournament Game Play Area" button.

iv. Your Username will appear in the "Tournament Players" box on the right of the screen.

v. Beside your Username, the name of your Host will be indicated.

vi. The list of available Hosts will appear in the "Select the Host with Your Username" box in the upper left of the screen.

vii. Click on the name of your host and then on your name to join the game.

viii. The host can start the game as soon as all players have joined.

ix. Note: if you do not see the "Enter Tournament Game Play Area" button, then you may need to click the "Refresh List" button to refresh the screen.

x. It may be helpful to include the Tournament format and the number of players who will move on to the next round from each table (this is a #1 question by players).

j. Monitor players joining the games and post messages on any players that you are still waiting for (post in both the portal chat and Tournament Game Play areas).

k. As play continues you can monitor the games by joining them as a guest to make sure everything is going ok and that none of the players have questions. This may also be a good time to note the number of players moving on to the next round and instructions “After this game is over please wait for all other games to be finished. We will set up the next round with the game winners and post a chat message when it is ready to go.”

4. Steps to set up the next round:

a. Get winners after all games are 100% complete. Make sure this is done before removing any hosts just in case the game detail data is need for tie game analysis.

b. Auto-Remove All Hosts. The “View Game Results” will still show the game winners, but not all round details (i.e. not used to determine breaks).

c. Set the round to Round #2 (or the next round that is needed).

d. Hit the Clear button (upper right of screen) – this just makes sure you are starting with a clean slate.

e. Select/check players in Tournament Players list for each Host.

f. Hit the Create Host button.

g. repeat steps c-f as needed doing one host at a time.

h. Note: if something goes wrong you can always start over.

i. After all hosts are created post in the portal chat that the next round is ready and also post in the Tournament Game Play Area that the next round is ready.

j. Monitor players joining the games and post messages on any players that you are still waiting for (post in both chat areas).

k. As play continues you can monitor the games by joining them as a guest to make sure everything is going ok and that none of the players have questions. This may also be a good time to note the number of players moving on to the next round and instructions “After this game is over please wait for all other games to be finished. We will set up the next round (or determine the Tournament winner, etc.) with the game winners and post a chat message when it is ready to go (or who the Tournament winner is).”

5. Steps to Clean Up and Close Out the Tournament (after all game/Tournament player is finished):

a. Auto-remove all hosts

b. Close the Tournament

c. Delete the Game Results

d. Delete Registrations

e. Delete the Tournament which will also clear the chat message.
